Property Administrator – Detroit, MI

Farbman Group is currently seeking an experienced Property Administrator to join our team in Detroit, MI.

We are looking for an experienced property manager to join our team!

Job Summary:

The Property Administrator reports to and works closely with the managers to provide support to the entire office with administrative and general assistance. Also acts as an additional point of contact for each manager to respond back to tenants timely.

Education and Experience:

  • Bachelor’s degree preferred, but not required
  • Minimum 1-3 years of administrative experience
  • Commercial property management experience a plus
  • Must have strong computer skills
  • Excellent time management, organization and communication skills.
  • Must have prior supervisory experience.
  • Real estate license required or must obtain within 90 days of employment.

Responsibilities Include, but are not limited to:

  • Opening and closing the office each day.
  • Answering all incoming calls and directing them to the appropriate personnel.
  • Assist in preparing the mail to go out each day.
  • Develop letters and spreadsheets for managers.
  • Maintains phone log for managers
  • Maintain tenant contact/tenant list and update as needed.
  • Maintain inventory of office supplies on-hand.
  • Make sure phone system is functioning.
  • Providing administrative support for management and leasing as needed.
  • Serve as receptionist
  • Maintains files of all contractor and tenant certificates of insurance.
  • Ordering and follow up of all tenant signage and directory boards.
  • Coordinate tenant special event cards, flowers, etc
  • 1st response to minor tenant complaints
  • Issue and track work orders.
  • Issues and logs purchase orders and invoices for managers.
  • Develop letters and spreadsheets for managers.
  • Issues 5-day late letters and 7-day notices as needed for delinquent tenants.
  • Distributes internal and external mail
  • Makes sure office equipment is operable
  • Maintain all tenant files
  • Maintain security and housekeeping log in office
  • Clearances for tenant move-ins and move-outs and construction work.
  • Develop and distribute building bulletins and tenant notices.
  • Place requests for dumpster change outs and chart to proper accounts
